Provide administrative support to the Head of Middle School. Serve as the point person for the office, providing support to Middle School Teachers and assisting other school offices as required.
Job Responsibilities/Essential Functions:
55% Provide administrative support to the Head of Middle School. Coordinate meetings, answer phone calls, open mail, type correspondence, manage the Head of Middle School’s calendar, and special projects as assigned.
20% Serve as the point person for the Middle School. Greet visitors, answer phones and represent the Middle School in a professional manner with both internal and external customers. Order supplies and sort and distribute mail. Maintain student attendance records, verifying absences with parents and serve as general resource for students.
5% Other duties as assigned by the Head of Middle School.
5% Maintain OPT (Office of Pupil Transportation) report and issue Metro cards on September and January.
5% Organize, distribute, and, maintain files of the grade reports. In addition, each grading trimester provide reports to the Deans and Head of Middle School for editing and enter changed on the reports on Connect.
5% Coordinate the necessary paperwork with the administrative assistants in the other division offices.
5% Enroll, edit, and maintain the MS Student schedules in Class A and Connect.
Process applications and send transcripts for students interested in transferring to another institution.
Process applications of students interested in taking the Specialized High School Exam.
Liaison with advisors.
Coordinate field trips and overnight trips. Process the appropriate documents and inform the appropriate people.
Maintain supplies for teachers.
Coordinate and schedule visitors with the Division Head and the Admissions Office.
Handle other projects as they arise.
Prepare Hospitality requests for MS events and activities,Flexible to assist where needed in the School.
Bachelor’s degree, Preferred
Three years administrative assistant experience in a business environment, Required
Previous experience working for more than one person, with the ability to prioritize, Preferred
Detail-oriented and thorough with strong organizational skills and the ability to manage multiple projects simultaneously, Required
Demonstrate knowledge and understanding of working with people from diverse backgrounds, Required
Proven interpersonal skills, Required
Strong typing skills including excellent editing and proofing skills, Required
