The Associate Director of Donor Relations is responsible for managing stewardship reporting and recognition for major donors to Harvard Medical School.
This position is a key leader within Harvard Medical School Donor Relations, focused on developing and implementing personalized and comprehensive stewardship, recognition, and engagement for the School's top donors. As new gifts are booked, proactively initiates and manages planning for stewardship and recognition in close consultation with gift officers. Partners with principal gift officers and donor relations colleagues to develop and execute ongoing stewardship and recognition strategies. Develops relationships with faculty and administrators to stay abreast of the latest activities and developments that can lead to donor recognition and engagement opportunities. Remains current with innovative work done by other organizations and considers multiple ways, including digital, of connecting with donors about the impact of their philanthropy. Works effectively within a culture inclusive of individuals with diverse backgrounds, styles, abilities, and motivations, and appreciates and leverages the capabilities, insights, and ideas of all individuals.
Duties and Responsibilities:- At the direction of the Director of Donor and Affiliate Relations, develops annual reporting and recognition strategies for top donors, collaborating with principal and major gift officers and other stakeholders
- Evaluates stewardship processes for principal and major gifts and develops best practices for top donor stewardship and recognition
- Partners with the Director of Donor and Affiliate Relations to coordinate top-donor strategies and make recommendations regarding the team's stewardship assignments and priorities to help ensure a manageable portfolio of work
- Maintains a portfolio of donors for stewardship; strategizes, researches, writes, and produces narrative reports, financial fund reports, and other content customized with minimal direction for top donors based on their preferences and gift designations
- Partners with faculty leaders, including deans, department chairs, and named professors, across HMS to draft and edit written communications to top donors
- Works with department chairs and department administrators to ensure compliance with gift fund terms and sufficient annual expenditures in accordance with donors' intentions, with an emphasis on funds of $500,000 or more
- Oversees and reviews donor narrative reports and other communications written by the assistant director and development associate
- Creates and manages a comprehensive donor recognition matrix, which outlines appropriate recognition across all levels of major giving to ensure consistency and ensure lead donors are thanked appropriately for their gifts
- Strategizes on donor gifts in collaboration with AAD colleagues
- Maintains an accurate comprehensive filing and tracking system to ensure that all activity is recorded in the internal donor database (Advance); assists in the oversight and maintenance of the dedicated Donor Relations database, which is used to track gift funds, activity, and incumbent data *Other duties as assigned.
