The Charles E. Smith Jewish Day School seeks qualified candidates to fill the position of Upper School Facilities Administrator and School Transportation Coordinator. The individual will be responsible for overseeing the consistent operation of buildings, grounds, systems and equipment in a manner that minimizes interruptions in operation and ensures the safety of all employees and students, and for management of the School’s bus transportation program. This position requires independent thinking, problem solving and project management skills on a daily basis as well as exceptional customer service to administration, faculty, staff, students and parents. Essential Duties and Responsibilities: - Facilities Administration:
- Oversee maintenance of the buildings, grounds, furnishings, mechanical and electrical systems for the Upper School campus.
- Manage all work order requests and the scheduling and maintenance associated with the preventative maintenance program often conducting hands-on repairs and minor trouble-shooting of HVAC, electrical, plumbing and other systems.
- Supervise the activities, training, performance and development of the maintenance staff.
- Manage room reservation requests and direct facilities staff in preparation of rooms for events and meetings.
- Engage and supervise outside contractors to repair facilities as required.
- Supervise contracted janitorial staff.
- Transportation Coordination:
- Ensure the smooth operation of the transportation system, including all communication between families and the school.
- Establish routes and schedules for efficient and timely service to families. Coordinate with the Admission team regarding enrollment and recruitment areas of focus.
- Maintain and update software applications related to transportation, including Traversa, BusWhere, transportation-related fields in PowerSchool, etc.
- Serve as a backup Activity Bus Driver when needed.
- General Responsibilities:
- Establish and manage relationships with vendors, negotiating contracts, overseeing daily operations, and ensuring compliance with school policies and contracts.
- Ensure compliance with all local, state and federal regulations; maintain inspection records and current licensing.
- Process departmental expense reports and invoices for payment through the Business Office.
- Assist in preparing and administering the annual departmental operating budget.
- Responds to building emergencies as needed and on-call.
- Provide support to the Director of Operations and Security.
