The Administrative Coordinator performs a wide range of high-level, complex, and confidential administrative activities to support the Office of Labor and Employee Relations (OLER). This position reports to the Senior Manager of Administration and HR Programs in Harvard Human Resources.
Key ResponsibilitiesDuties and responsibilities include, but are not limited to, the following:
Administrative Support:- Provides administrative support to Harvard's Office of Labor and Employee Relations (OLER).
- Manages calendar and schedule for the Managing Director (key priority for this role).
- Develops, formats, and maintains slides, documents, tracking systems, and other materials.
- Schedules, coordinates, and executes meetings, webinars, trainings, and virtual meetings.
- Responds to inquiries, triages, and ensures follow-up.
- Processes all departmental financial transactions including vendor invoices, reimbursements, corporate card payments, and orders supplies.
- Creates and maintains communications platforms including department websites.
- Performs other related duties and responsibilities as required; provides cross coverage as needed.
Coordination Support:- Supports OLER during union negotiations by coordinating logistics for in-person and remote meetings and trainings.
- Processes and tracks three union reimbursement funds. Escalates any issues as necessary.
- Runs reports on a regular basis, and updates databases as needed.
- Tracks, notifies, and triages Extended Part-time Employees (EPE) processes to local HR offices and impacted employees.

Minimum of three or more years of relevant work experience.
- Candidate must be proficient using MS Office Suite, including intermediate Excel skills.
