The Jewish Community High School of the Bay (JCHS) needs an amazing Office & Front Desk Manager. The current person in this position has been promoted to Communications and Social Media Specialist. We are looking for someone to start this position on August 15, 2022.
Front Office Manager
Under supervision of the Facilities Manager, the Front Office Manager is primarily responsible for managing front desk reception (including phones and visitors) while working closely with Security Staff to ensure a positive and professional welcome to all guests, staff, visitors, library patrons, and vendors. She or he will be the primary backup to the Facilities Manager for building-related issues and will manage supplies inventory in common areas as well as the Staff Kitchen.
Specific Responsibilities:
Front Desk - Reception
- Answer and transfer calls to the appropriate employee(s) in a friendly and efficient manner.
- Take messages and deliver them to the appropriate employee(s), as needed.
- Greet all visitors and library patrons. Offer assistance and notify the appropriate employee(s) when guests arrive.
- Available for Registrar, Development, Admissions, or Finance and Administration projects.
- Sort and distribute mail.
- Perform other clerical receptionist duties such as filing, photocopying, mailing projects.
- Make coffee and empty the dishwasher in the staff kitchen daily.
Office Management
- Monitor and maintain presentation and supplies inventory in following areas: mailroom, staff kitchen, copy room, and faculty offices
- Perform maintenance on the copy or postage machine when needed
- Keep paper filled in all three copy machines of the school
- Coordinate with service vendors such as Office Depot, Fedex, Coffee company, etc.
Facilities
- Act as "go-to person" for faculty and staff for building issues
- Act as secondary contact for the property management firm, and notify them of certain issues
- Assist Facilities Manager with work orders and assure staff that their concerns and requests will be addressed in a timely manner
- Update calendars and schedule meetings for various conference rooms
Student Affairs
- Assist the School’s Registrar with daily student attendance tracking and calls
- Utilize the school’s portal database to find student schedules, parent phone numbers, events and understanding of school operations
- Locate substitute teachers within the school community when needed
- Help create the student transportation schedule
- Help students check out laptops from the IT department
Qualifications
- Strong customer oriented service with parents, students, and professional community, as well as a careful approach to quality/accuracy focus
- Undergraduate degree and 5+ years of administrative or reception experience
- Intermediate Computer Skills in Word, Excel, Gmail, and Google Docs.
- Positive, friendly, joyful, and professional demeanor and attitude
- Needs to be flexible, resourceful, have the ability to multitask, and be proactive when issues arise
- Strong communication skills (verbal and written)
- Excellent organizational and problem solving skills
- A sense of perspective is essential; a sense of humor is a plus
