Position Summary
Reporting to the Executive Director of Administrative Services, the Manager of Mail & Transportation Services serves on the staff of Administrative Services and oversees the daily operations of Administrative Mail, Student Mail and Transportation Services. . The Manager is an integral part of divisional collaboration by providing consultation/support to all departments within Administrative Services. Administrative Services is comprised of the following departments: Print Services, Administrative and Student Mail, and Transportation Services. Administrative Mail collects and distributes all interoffice mail as well as US Postal Service (USPS) letters and parcels throughout the University. Administrative Mail also processes outgoing USPS mail for the schools and departments. Ensuring quality and consistency of Mail Services is essential to the efficiency of the Administrative Mail operation and to the campus community.
- Student Mail collects and distributes all incoming student mail and packages and outgoing mail. Student Mail also manages rental boxes and maintains active student body registry for all incoming and outgoing students.
Transportation Services oversees the university shuttles that connect all major campuses, bus charter services, and black car services.
The Manager has the overall responsibility for the daily operations of the Administrative Mail, Student Mail, and Transportation Services, which employs a staff of 20+ full-time employees. The Manager maintains the logistics of various operations including coordination, transportation, personnel, equipment, performance and evaluation, while ensuring that divisional Personnel Standards are met and monitored. The Manager will recommend and implement changes in operational policies and procedures, and monitors the revenue budget expenditures to assure that the department???s needs are met.
Responsibilities
- Oversees the daily operations of Administrative and Student Mail and Transportation Services. Manages the performance, evaluation, and development of 20+ full-time employees assigned to Administrative Mail and Transportation Services. Manages the logistics including coordination, transportation, equipment, and other related tasks.
- Reviews and evaluates existing equipment to assess efficiency and productivity capacity. Serves as primary liaison and participates in ongoing negotiations and relationship management with the US Postal Service.
- Develops relationships with people from public areas of the University to maintain a customer friendly environment. Remains aware of industry trends and constantly seeks and implements innovative new products and services for customers. Utilizes a variety of tools to assess customer???s opinions. Continually improves and implements services to meet the needs of the campus community. Monitors revenue and budget expenditures to assure that the department meets targets.
- Recommends and implements changes in Mail & Transportation Services operations, policies and procedures as appropriate. Diplomatically handles complaints and problems with clients, communicating issues with the Executive Director when necessary. Interacts effectively and diplomatically with staff, management, and diverse clientele, including campus departments, student organizations, and the general public by oral and written communications.
- Manages staff by ensuring that the division adheres to University policies and procedures. Understands, implements, and adheres to the Collective Bargaining Agreement covering the applicable employees. Ensures that the divisions Personnel Standards are met and monitored. Assures that the components of developing policies and procedures and their implementation related to these procedures are consistently addressed across all operations. These procedures include but are not limited to time and attendance, performance evaluation process, job description process, and employee development.
- Performs other duties as assigned.
Minimum Qualifications
- Bachelor???s degree and/or equivalent required; preferably in Business.
- Three to five years??? experience required; preferably in a managerial capacity with strong operational background encompassing various aspects of service.
- Excellent computer skills with proficiency in Microsoft Office applications are necessary.
- Demonstrated analytical and problem-solving skills along with proven decision-making skills and initiative is required.
- Must have strong communication skills both oral and written, customer skills and the ability to interact with management at all levels.
- The ability to work independently and as a member of a team.
- Familiarity with transportation, vehicles, their maintenance, and mail room office equipment required to run mailroom operations is highly desired.
- The ability to multi-task and prioritize under pressure, and on a daily basis.
Preferred Qualifications
- Proven leadership is a plus.
- Related experience in supervising Bargaining Unit employees is preferred.
