Position Summary
The Business Manager reports directly to the Executive Director and serves on the administrative leadership team. The Business Manager oversees the school's financial and operational functions, including budgeting, accounting, human resources, facilities management, and procurement. They collaborate with the Executive Director and Board of Trustees, provide data-driven insights, manage risk, ensure regulatory compliance, and support the school's strategic vision to ensure effective and efficient use of resources to support the educational mission.
Essential Responsibilities
Essential responsibilities of this position may include but are not limited to the following:
Financial Management
Develop and oversee financial policies, procedures, and internal controls to safeguard assets, protect confidential information, and ensure accurate financial reporting.
Oversee school business functions, including: tuition billing and collection, accounts payable, contracting, payroll, accounting and reporting, regulatory reporting and compliance, and other business administration activities.
Support the Development office in maintaining accurate and timely records of donations.
Assist accountant in preparing 990’s and other tax forms as needed.
Administer and maintain account records of the annual budget as approved by the Board of Trustees to align with the school's goals and mission.
Work with the Executive Director and Board Finance Committee to closely monitor cashflow projections for current and future fiscal years.
Provide monthly financial reports to school leadership and the board.
Provide financial data to be included in annual reports and other donor materials.
Participate in the development of school strategy, providing recommendations, financial analysis, projections, and other data to inform the process.
Support the Executive Director and the Board of Trustees in meeting fiduciary responsibilities.
Human Resource Management
Collaborate with the Executive Director to ensure that appropriate independent school human resources policies and practices are clearly articulated, consistently applied, and conform to legal requirements.
Participate in employee on-boarding activities for staff; answer employee questions and provide support as needed when integrating new hires .
Assist in communicating Temple Grandin School policies and procedures; promote understanding within the organization.
Manage employee benefits program, through Paychex PEO, including health insurance and 401(K).
Assist Executive Director in updating and reviewing Employee Handbook annually or as required as policies are added or revised.
Maintain comprehensive files regarding staff attendance, ensuring that there is documentation on file to support all staff absences.
Maintain confidential personnel files on all employees, following records and retention policies.
Provide support to the Executive Director on personnel matters including, but not limited to, hiring and termination.
Risk Management
Work with the Executive Director to oversee risk management and legal activities: offer letters, contracts, leases, and other legal documents and agreements
Work with the Executive Director to establish and maintain policies that meet all required environmental, health, and maintenance standards as required by law and work with the administration to ensure compliance with all regional, state, and federal regulations and laws as they impact the school.
Administer and collect student records for all students including immunization records, emergency contact forms, photo release forms, etc.
Work with school nurse contractor to ensure medication administration, CPR/First Aid, and other student health trainings are current.
Serve as a phone and reception contact for all visitors to Temple Grandin School, providing accurate information for community members inquiring about our program and organization.
Work with the Executive Director and staff toward resolution of all problems - both routine and unique - as they arise.
Perform other duties as assigned by the Executive Director and Board of Trustees.
Facilities Management
Oversee the maintenance of school buildings, grounds, and equipment.
Recruit and schedule staff to assist with facilities maintenance as needed
Oversee school transportation, including maintenance of school vehicles, and securing appropriate documentation from staff drivers.
Develop and implement an ongoing equipment replacement program.
Ensure facility readiness for day-to-day events as well as special events.
Arrange bids and develop specifications for all outside contractual work.
Oversee the work of all outside contractors to ensure compliance with contractual agreements and budgetary restrictions.
Manage contract technology vendors to ensure all technologies are in working order to support the daily school activities of students and staff.
Knowledge, Skills and Ability Required

B.A./B.S. degree in business, finance, or related field from an accredited institution (Master’s preferred)
5+ years experience in business and/or educational administration
Knowledge and implementation of relevant technology, including Google Drive and/or Microsoft Office Suite (documents, spreadsheets, presentations, and email management).
Financial acumen with strong knowledge of financial accounting, budgeting, and financial analysis.
Analytical skills having the capacity to analyze data, identify trends, and provide insights to support strategic decision-making.
Ability to work occasional evenings and weekends as needed to support TGS events and/or represent TGS in the community.
